  This Privacy Policy explains how we collect, use, store, and protect your personal and financial data when you use our software, MTD 4 Income Tax, in compliance with UK General Data Protection Regulation (UK GDPR) and HMRC requirements for Making Tax Digital (MTD).

• What Information We Collect

  We do not collect any of your Personal or Financial Data. We only store your email, password, which is hashed, and national insurance number to allow you to log on into our system. [When a password is encrypted, it can be reversible, when a password is hashed, it can not be reversible]

  When we need access to your Personal or Financial Data, the software redirects to the HMRC Portal, where you insert your Credentials and allow the software to access your HMRC Data, then HMRC returns a token which will be saved encrypted in your device. This token is used by the software to access your HMRC Data, in this way we do not store your HMRC credentials in our systems. The Data sent to and received from HMRC is not saved in our servers, however some data might be cached into your device and can be deleted at any time.

• How We Use Your Data

  We only save in our servers your email, password and national insurance number to allow the login and we do not share this data with third-party.

• Lawful Basis for Processing

  Our lawful basis under UK GDPR is:

  • Legal obligation: To comply with HMRC’s MTD regulations.
  • Contract: To provide services as described in our software agreement.
  • Consent: Where required for optional features (e.g. email reminders).

• Data Sharing

  We only share your data with HMRC via secure APIs.

• Data Retention

  Our system does not retain any of your Personal or Financial Data. We only store in the server your email, password (hashed) and national insurance number to allow the login. The only data stored in your device is the digital records and can be exported or deleted at any time.

  You have the right to delete your data, restrict processing and withdraw consent at any time.

  We use industry-standard encryption, authentication, and access controls to protect your data. All communications with HMRC use secure, HMRC-approved channels.
